Dental Medical Receptionist (Dental Practice Proficiency)

Job Overview

We are looking for a reliable, patient-focused, and experienced Dental Medical Receptionist to join our remote healthcare team. The ideal candidate will have 3+ years of hands-on experience working in a U.S. dental practice and a strong understanding of dental front-office operations, patient communication, scheduling, insurance verification, pre-authorizations, and dental terminology.

The successful candidate must be comfortable communicating with patients in English and have practical experience working with dental insurance, treatment plans, dental coding, and pre-authorization processes.

Key Responsibilities

- Manage inbound calls, emails, and patient inquiries in both English and Spanish.

- Schedule, reschedule, and confirm dental appointments.

- Handle patient check-in and check-out processes.

- Verify patient demographics, insurance eligibility, and dental benefits.

- Review insurance benefits, including copays, deductibles, annual maximums, waiting periods, and coverage limitations.

- Obtain and follow up on dental insurance pre-authorizations and pre-determinations .

- Assist with treatment plan coordination and communicate insurance-related information to patients.

- Process patient payments and follow up on outstanding balances.

- Coordinate appointment reminders, recalls, and patient follow-ups.

- Maintain accurate and up-to-date patient records and documentation.

- Communicate effectively with dentists, hygienists, dental assistants, insurance companies, and other dental staff.

- Support dental claims and other insurance-related administrative processes as needed.

- Maintain patient confidentiality and comply with HIPAA requirements.

- Provide general administrative and front-desk support to ensure smooth daily dental practice operations.

Required Qualifications & Experience

- 3+ years of hands-on experience as a Dental Receptionist, Dental Front Desk Coordinator, Dental Administrative Assistant, or similar role in a U.S. dental practice.

- Previous experience working remotely in a dental setting is required.

- Fluent in English , with strong verbal and written communication skills .

- Strong knowledge of dental office workflows, terminology, scheduling, and patient coordination .

- Hands-on dental insurance pre-authorization/pre-determination experience — not just theoretical knowledge.

- Strong experience with dental insurance verification , including eligibility, benefits, coverage requirements, deductibles, copays, and annual maximums.

- Working knowledge of dental coding and CDT codes .

- Understanding of dental procedures, treatment plans, and common dental terminology.

- Basic understanding of dental X-rays and the ability to identify or understand common types of dental radiographs and terminology.

- Strong patient service and communication skills.

- Excellent organizational skills with the ability to manage multiple tasks and priorities.

- Proficiency with computers, electronic health/dental records, and dental practice management software.

- Ability to work independently and maintain productivity in a fully remote environment.

- HIPAA knowledge or certification is preferred.

Preferred Dental Practice Management Experience

Experience with one or more of the following dental practice management systems is highly preferred:

- Dentrix / Dentrix Ascend

- Eaglesoft

- Open Dental

- Curve Dental

- Or other comparable dental practice management systems.

Preferred Additional Experience

- Dental insurance claims and follow-up.
