About the Role

We are looking for a self-driven PMO Specialist to support the continuous development of our Agentic PMO and Project Management offerings .

The role focuses primarily on PMO and Delivery Support , combined with the development of project management offerings, frameworks and best-practice assets, as well as the structured identification and prioritisation of AI and automation use cases .

Responsibilities:

- Manage and prioritise a central backlog across relevant workstreams.

- Consolidate incoming requirements and translate them into clearly defined and actionable work packages.

- Define objectives, expected outcomes, responsibilities, dependencies and next steps for individual work packages.

- Independently take ownership of prioritised work packages and drive them through to completion.

- Track deliverables, action items, timelines and dependencies , proactively identifying delays and coordination needs.

- Maintain structured documentation of progress, blockers, decisions and open points.

- Prepare structured escalations, management updates and decision-making materials.

- Prepare and support workshops and stakeholder meetings, including agendas, presentations, working materials and follow-up actions.

- Support Stream Leads with cross-stream coordination.

- Develop and maintain PMO frameworks, templates, starter packages, one-pagers, presentations and best-practice toolkits .

- Research and document relevant PMO and project management best practices.

- Research, structure and prioritise AI, automation and Agentic PMO use cases .

- Document business requirements, value hypotheses, target groups, process relevance and expected outcomes of AI use cases.

- Support the transition of prioritised AI use cases into concrete next steps or pilot initiatives.

Requirements:

- Professional experience in PMO, project coordination or Delivery Support roles.

- Experience managing backlogs, work packages, action items, timelines and dependencies .

- Experience in complex transformation programmes or cross-stream project environments.

- Strong organisational, analytical and prioritisation skills.

- Experience with agile or hybrid delivery methodologies and backlog or portfolio management.

- Strong communication and presentation skills, including experience creating PowerPoint presentations, management updates, one-pagers and workshop materials .

- Experience developing or improving PMO, project management or consulting offerings is an advantage.

- Practical experience with Microsoft 365 Copilot, Copilot Studio, agent-based workflows or comparable AI tools .

- Strong interest in AI, automation and Agentic PMO use cases .

- Proactive and self-organised working style with a strong ownership mindset .

- Ability to manage multiple work packages independently from initial requirement through completion.

- Experience working in distributed, cross-functional or multi-vendor environments .

- Very good knowledge of Microsoft 365 , especially PowerPoint, Excel and Teams.
