Most data entry roles ask you to be fast. This one asks you to be right, because the records you keep are the ones somebody’s paycheck, benefits, and employment history are built on.

Remote Raven is hiring an HR Data Entry Specialist for our client, a US commercial electrical contractor headquartered in Arizona. They build the electrical systems behind hospitals, data centers, university campuses, airports, and industrial plants, and they hire continuously across a field workforce spread over many active job sites. Every one of those hires becomes a stack of paperwork that has to end up in the HR system correctly, on time, and filed where someone can find it a year later.

You will sit inside the HR function and be the person that stack runs through. New hire packets, status changes, compensation updates, benefits elections, I-9 records, certifications, training completions, policy acknowledgments. You verify before you enter, you flag what is missing or inconsistent rather than guessing at it, and you hit the daily and weekly cutoffs that payroll and HR reporting depend on.

This role asks for a different level of trust than most remote administrative work. You will be looking at colleagues’ personal information, pay rates, benefits elections, and identity documents, often before anyone else in the company has. Discretion here is not a nice-to-have. It is the job.

It also asks for something quieter and harder. HR data does not error out when it is wrong. A mistyped pay rate does not bounce back; it becomes a wrong paycheck. A hire date entered a week early does not throw an alert; it becomes a wrong benefits eligibility date. Very often nothing catches a bad record except the person who typed it. The people who do this job well know that, and they build a real checking habit around it rather than trusting themselves to be careful.
Key Responsibilities
Employee Records & HRIS Data Entry

- Collect, review, and accurately enter HR-related data into the company’s HR systems, including employee records, onboarding information, status changes, and personnel updates.

- Maintain and update employee records in the HRIS: personal information, job details, compensation data, and employment history.

- Keep every record current, so that what is in the system on any given day is what is actually true of that employee.

New Hire & Onboarding Documentation

- Process and input new hire documentation, making sure all required forms and records are complete, accurate, and filed correctly.

- Work through onboarding batches at the pace hiring runs, without accuracy sliding as volume rises.

Benefits Enrollment Support
- Support benefits enrollment data entry, including tracking elections, changes, and updates across open enrollment and qualifying life events.

HR Compliance Documentation

- Assist with entering and tracking HR compliance documentation, including I-9 records, certifications, training completions, and policy acknowledgments.

- Keep compliance records complete and retrievable, because the moment they are needed is usually the moment there is no time to reconstruct them.

Verification, Discrepancies & Coordination

- Verify data for completeness and accuracy before entry, flagging missing or inconsistent information for HR team review.

- Communicate with HR team members and internal departments to resolve discrepancies or gather missing employee information.

Records, Deadlines & Reporting

- Maintain organized digital records of HR documents and ensure filing conventions are followed consistently.

- Meet daily and weekly deadlines for data entry to support HR reporting cycles, payroll processing, and compliance requirements.

- Assist with basic HR reporting and data audits as requested by the HR team.

Confidentiality
- Handle all employee data with strict confidentiality and professionalism at all times.
