Team Lead – Meetings Management
Home based, Spain
We’re looking for an experienced, detail-oriented Team Lead – Meetings Management to guide a team of planners while also serving in a hands-on project management capacity.
In this client-facing leadership role, you will oversee day-to-day team performance, mentor and develop direct reports, and help deliver exceptional meeting experiences from start to finish. You’ll be a trusted partner to clients, colleagues, and suppliers—bringing precision, professionalism, and a solutions-focused mindset to a fast-paced, high-touch environment.
This is an ideal opportunity for a strong meeting planning professional who enjoys leading people, improving processes, and stepping in to support execution when needed.
What You’ll Do
Team Leadership & People Management
- Supervise the daily performance of direct reports, ensuring high standards of quality, productivity, and customer service
- Mentor, coach, and support team members to help them grow and succeed
- Assist with onboarding and training of new hires
- Conduct one-on-one meetings, goal setting, and performance reviews
- Approve timesheets, time off requests, and other administrative responsibilities
- Provide proactive problem-solving and sound judgment in handling escalations
Project Management & Meeting Planning
- Serve as a Project Manager approximately 50% of the time
- Support the full meeting lifecycle, including sourcing, contracting, planning, reconciliation, and reporting
- Step in to manage frontline responsibilities when needed to ensure continuity and service excellence
- Maintain deep expertise in meetings and events operations across the account
- Help ensure projects are delivered accurately, on time, and in line with client expectations
Client & Account Management
- Build and maintain strong relationships with clients, colleagues, and suppliers
- Serve as a day-to-day support resource to the team, providing clear and consistent direction
- Partner with the Congress Operations Manager to support overall account management and operational consistency
- Help ensure excellence in delivery, quality, follow-through, and timeline management
- Interpret data and provide recommendations to improve service and performance
- Contribute to the development of new programs and service improvements
Operational Excellence
- Maintain a strong understanding of meeting management and accounting tools used on the account
- Support efforts to improve systems, workflows, and service delivery
What You Bring
You have:
- 3+ years of experience as a Meeting Planner
- Proven leadership ability in a client-facing environment
- Expert project and timeline management skills
- Strong verbal communication skills
- Solid administrative skills, including strong Microsoft Office 365 proficiency
- Exceptional business writing and proofreading skills
- Expert-level customer service skills
- Fluency in Englis
