Congress Registration & Housing Manager
Home based, Spain
We’re looking for a highly organized and client-focused Congress Registration & Housing Manager to support the successful delivery of congresses by managing delegate registration, housing, and attendee communications.
In this role, you will serve as the primary point of contact for delegates, oversee registration website management, coordinate housing and badge needs, and ensure a smooth attendee experience from start to finish. What You’ll Do
Delegate Management
- Secure congress registrations for attendees
- Manage rooming lists and attendee housing needs
- Handle day-to-day attendee inquiries with professionalism and care
- Ensure compliance requirements and guidelines are followed and properly documented when needed
- Serve as a key contact with associations and societies to maintain strong communication
- Provide data and documentation needed for reconciliation and client audit readiness
- Follow all required templates, tools, and internal processes consistently
- Manage multiple congresses at the same time while maintaining accuracy and service quality
- Partner closely with teammates to ensure alignment, transparency, and smooth execution
- Coordinate onsite responsibilities with logistics teams when needed
Technology & Reporting
- Edit and customize registration websites in Cvent
- Import, update, and maintain attendee data accurately in Cvent
- Ensure all attendee and congress data remains current and error-free
- Meet internal and external reporting requirements accurately and on time
- Oversee final confirmation emails and other attendee communications
- Create and maintain shared drive folders for assigned congresses
Client & Attendee Communication
- Communicate critical planning deadlines clearly and proactively
- Serve as the primary contact for logistical arrangements related to the congress
- Oversee attendee registration and housing questions, ensuring timely resolution
- Maintain the highest standards of quality, professionalism, and integrity in all communications and supplier interactions
What You Bring
You have:
- At least first experience in congress, convention planning, or event management
- Sound client management experience and attendee management experience (at least 3 years)
- Previous experience with participant registration for congresses
- Strong customer service skills
- Proficiency in Microsoft Office
- Ability to work effectively on a global team with strong cross-cultural awareness
- Strong organization and multitasking skills
- Excellent client service and communication abilities
- High attention to detail and accuracy
