The Program Coordinator supports the successful delivery of healthcare technology, operational, infrastructure, and transformation initiatives by providing program and project administration, coordination, governance support, reporting, and stakeholder communication. Working under the direction of Program Director, Portfolio Managers, Program Managers, and/or Project Managers, the Program Coordinator serves as a key member of the Program Management Office (PMO), ensuring the program and projects are organized, documented, and progress according to established timelines and governance standards.
This role supports complex healthcare engagements for managed services transitions, infrastructure initiatives, application projects, operational improvements, and strategic transformation programs. The Program Coordinator helps maintain project controls, facilitates communication across teams, and ensures critical project artifacts, schedules, risks, issues, and action items remain accurate and current.
Key Responsibilities

Program and Project Coordination
- Support one or more healthcare programs and projects through all phases of the program and project lifecycle.
- Coordinate program and project activities, meetings, workshops, and governance reviews.
- Develop and maintain program and project documentation, work plans, RAIDC logs (Risks, Assumptions, Issues, Dependencies, Changes), dashboards, and status reports.
- Setup and administer SharePoint repository.
- Assist project teams in tracking program and project milestones, deliverables, and dependencies to support successful execution.
- Assist teams in monitoring project scope, timelines, and resource assignments.
- Coordinate follow-up activities and ensure RAIDC items are completed as assigned.

PMO Governance and Reporting
- Prepare weekly and monthly program dashboards, executive status reports, and governance presentations.
- Monitor the team’s compliance with PMO processes, methodologies, templates, and standards.
- Maintain project documentation repositories and ensure version control.
- Support risk identification, issue tracking, escalation management, and resolution activities.
- Assist with project intake, prioritization, and portfolio reporting activities.

Stakeholder Communication
- Facilitate meeting scheduling, agenda development, note-taking, and meeting follow-up communications.
- Serve as a liaison among program and project teams, business stakeholders, vendors, and leadership.
- Support communication planning and distribution of program and project updates.
- Ensure timely communication of program and project changes, milestones, and decisions.

Resource and Financial Coordination
- Assist with resource onboarding, access management, and team coordination.
- Support staffing activities and resource planning efforts.
- Track project budgets, forecasts, purchase requests, and financial reporting as directed.
- Coordinate vendor activities and support contract administration processes.

- Managed services transitions

Skills and Experience
- Five (5) plus years of experience supporting healthcare programs, projects, transitions, or healthcare IT initiatives.
- Experience coordinating program and project activities in healthcare, managed services, consulting, or technology environments.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Strong organizational, documentation, and communication skills.
- Experience managing risks, issues, action items, and escalations.
- Ability to manage multiple priorities in a fast-paced environment.
