HOA Specialist

Position Overview

The Solar HOA Specialist is responsible for managing the full HOA approval pipeline for residential solar projects. This role ensures timely submission, follow-up, and approval of HOA applications to prevent project delays and maintain installation timelines.

This individual will serve as the primary liaison between homeowners, HOAs, and the internal Project Management team, driving proactive communication and accountability throughout the approval process.

The ideal candidate is highly organized, deadline-driven, proactive in follow-up, and comfortable working cross-functionally in a fast-paced solar environment.

Key Responsibilities

HOA Pipeline Management

- Own and manage the full HOA approval pipeline from submission through final approval

- Track and monitor all active HOA submissions across multiple markets

- Maintain accurate status updates in CRM

- Create and manage projected ETA dates for approvals based on HOA trends and historical timelines

- Identify potential delays early and escalate when necessary

Homeowner Communication

- Send final system design plans to homeowners via text/email for review and signature

- Obtain required homeowner signatures prior to submission

- Communicate next steps clearly and set expectations regarding HOA timelines

- Provide proactive updates if delays occur

HOA Application Submission & Follow-Up

- Prepare and submit complete HOA application packages

- Ensure all required documentation is included upon submission

- Conduct weekly follow-ups with HOAs until approval is received

- Track additional requirements (architectural forms, color sheets, engineering letters, etc.)

- Coordinate revisions quickly if changes are requested

Cross-Departmental Collaboration

- Work closely with Project Managers to obtain required homeowner signatures

- Coordinate with Engineering on updated designs if required by HOA

- Communicate approval status to Deployment and Scheduling teams

- Identify patterns or bottlenecks that impact NRTS movement

Data & Forecasting

- Track HOA approval timelines by region

- Build predictive ETAs based on HOA performance trends

- Report on approval cycle times and aging submissions

- Flag high-risk approvals that could impact install timelines
