Remote | Gastroenterology Practice | 40 hours/week
Schedule: $5-$6/hour | 12:00 PM to 8:00 PM Central Time
Position Overview
We are looking for an experienced Virtual Medical Assistant & Patient Scheduling Coordinator to support a growing U.S.-based gastroenterology practice.
This is a hybrid patient-facing and clinical administrative role. Your initial focus will be patient calls, scheduling, appointment coordination, and front-desk support . As you become familiar with the practice, your responsibilities may expand into broader Medical Assistant and provider-support functions.
The ideal candidate has experience supporting a U.S.-based medical practice , is confident communicating directly with patients and providers, and has hands-on experience using eClinicalWorks (eCW) .
Key Responsibilities
1. Patient Calls, Scheduling & Front Desk Support

Manage inbound and outbound patient calls, respond to basic inquiries, and follow up on appointment requests and prospective patient leads.

Schedule, reschedule, and coordinate new patient visits, follow-ups, procedures, and surgical appointments in eClinicalWorks (eCW) .

Monitor patient communications across phone, email, and text, including appointment reminders, preparation instructions, scheduling changes, and other follow-up needs.
2. Medical Assistant & Provider Support

Support Physicians and Nurse Practitioners with chart preparation, intake information, medical documentation, and other remote clinical administrative tasks.

Assist with new prescription requests, medication refill requests, and related documentation according to established clinic protocols.

Track laboratory, pathology, and diagnostic results and appropriately communicate or route information to providers and patients as directed.
3. Insurance Verification & Prior Authorization

Verify patient insurance coverage and accurately document relevant benefits and coverage information in the patient record.

Process and follow up on prior authorization requests for procedures, medications, visits, and other services as assigned.

Coordinate with patients, providers, and insurance representatives to obtain required information and resolve authorization or coverage-related issues.
4. Workflow Documentation & Team Collaboration

Document clinic-specific scheduling, communication, and administrative processes as you learn the practice's workflows.

Help develop clear SOPs and step-by-step procedures that can support consistent operations and future team expansion.

Maintain clear and timely communication with Physicians, Nurse Practitioners, schedulers, front-desk staff, and other members of the clinic team.
Required Qualifications

At least 1 year of hands-on experience supporting a U.S.-based medical practice

Experience performing both medical receptionist/front-desk and Medical Assistant-related administrative responsibilities

Hands-on eClinicalWorks (eCW) experience is required

Strong experience with patient scheduling and appointment coordination

Familiarity with prior authorizations, insurance verification, prescriptions/refills, and laboratory or diagnostic-result workflows

Excellent spoken and written English communication skills

Strong attention to detail, organization, follow-through, and documentation skills

Comfortable communicating directly with patients, providers, and clinic staff

Ability to work independently while maintaining consistent communication with the onsite team

Saturday availability may occasionally be required depending on patient volume and scheduling needs. Schedule changes will be communicated for at least a week if Saturday schedule is needed.
