Demand Planning
Scheduled: Flexible 2–3 hours per day, 3 days per week, or 8–9 hours per day for one full week. - (NZ based)
Role Overview
We are looking for a detail-oriented Demand Planning VA/EA to provide administrative and operational support across demand planning, inventory management, supplier coordination, and international freight operations.
The ideal candidate has hands-on experience in demand planning, supply chain, logistics, procurement, or international freight and is highly organized, proactive, and capable of managing multiple orders, shipments, suppliers, and timelines simultaneously.
Key Responsibilities
- Support demand forecasting, inventory planning, and replenishment activities.
- Monitor inventory levels, stock availability, and stock buffer allocations.
- Assist with purchase order creation and order tracking.
- Coordinate with international suppliers regarding orders, production schedules, shipment dates, and updates.
- Assist with international freight and shipment coordination.
- Track shipping schedules, delivery timelines, and important deadlines.
- Coordinate with freight forwarders and logistics partners to ensure shipments remain on schedule.
- Follow up proactively with suppliers and logistics partners to ensure timelines are met.
- Monitor shipment progress and identify potential delays, issues, or supply risks.
- Maintain accurate and up-to-date records of orders, shipments, inventory, and supplier communications.
- Assist with stock reconciliation and inventory-related administrative tasks.
- Help ensure products, purchase orders, and shipments remain aligned with required timelines.
- Communicate shipment, inventory, and supplier updates clearly to relevant internal stakeholders.
- Assist with identifying potential supply or inventory issues before they become larger operational problems.
- Support other demand planning, supply chain, and administrative activities as needed.
Qualifications
- Previous experience in demand planning, supply chain, logistics, procurement, or international freight .
- Hands-on experience coordinating with international suppliers .
- Experience working with freight forwarders and logistics providers .
- Experience with inventory forecasting, replenishment, or stock analysis .
- Strong organizational and time-management skills.
- Excellent communication and follow-up skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple orders, shipments, and deadlines simultaneously.
- Proactive in identifying potential delays, risks, and issues.
- Comfortable working independently with minimal supervision.
- Proficient in common business and productivity tools.
- Experience in a Virtual Assistant (VA), Executive Assistant (EA), or administrative support capacity is an advantage.
- Familiarity with supply chain management systems or ERP platforms is an advantage.
- Experience supporting businesses with international operations is preferred.
