Work Schedule

Monday–Thursday: 9:00 AM – 5:00 PM

Friday: 9:00 AM – 4:00 PM

Saturday: 5:30 AM – 7:00 AM

Unpaid break: 45 minutes each scheduled day

Additional flexibility: Must be available for morning coverage between 7:00 AM – 9:00 AM , as needed

Job Overview

One of our clients is looking to hire a reliable and experienced Bilingual Receptionist / On-Call Weekend Coordinator to join their home care agency team.

The ideal candidate will be fluent in English and Spanish , highly computer savvy, and comfortable managing high call volumes while handling time-sensitive staffing and patient-related matters. The successful candidate should be organized, professional, calm under pressure, and able to navigate multiple systems while working independently in a remote environment.

Position Summary

The Bilingual Receptionist / On-Call Weekend Coordinator serves as a primary point of contact for the agency and helps maintain clear and efficient communication between patients, families, caregivers, staff, and external partners.

The role involves answering and directing incoming calls, monitoring caregiver attendance, responding to caregiver call-outs and missed visits, coordinating coverage for open cases, and accurately documenting updates in HHA Exchange and other agency systems.

Key Responsibilities

- Serve as a primary point of contact for incoming calls and after-hours HHA and PDN cases .

- Answer, screen, and route high-volume calls related to staffing, attendance, patient needs, caregiver concerns, and agency services.

- Monitor and verify caregiver attendance for scheduled HHA and PDN cases.

- Respond promptly to caregiver call-outs, missed visits, and attendance concerns.

- Coordinate caregiver and nursing coverage for open cases and missed visits to support continuity of patient care.

- Communicate with patients, families, caregivers, and staff regarding scheduling changes, attendance issues, and urgent case updates.

- Accurately document calls, messages, incidents, attendance updates, and case-related information in HHA Exchange and other agency systems.

- Navigate multiple software systems, internal directories, and communication platforms to identify appropriate contacts and efficiently resolve or route inquiries.

- Escalate urgent clinical, patient, staffing, or operational matters to the appropriate supervisor or management team.

- Maintain detailed after-hours call logs and ensure documentation follows agency policies and HIPAA requirements.

- Provide accurate information regarding agency services, operating hours, and appropriate points of contact.

- Monitor call queues and ensure calls and messages are addressed promptly.

- Maintain professionalism, patience, and confidentiality when handling sensitive or urgent calls.

- Follow assigned schedules, agency procedures, and communication protocols consistently.

Required Qualifications

- High school diploma or equivalent.

- Fluent in English and Spanish.

- At least 3 years of professional experience working in a U.S. healthcare or home care environment.

- Strong computer skills and ability to navigate multiple software systems simultaneously.

- Strong verbal and written communication skills.

- Excellent telephone etiquette and customer service skills.

- Ability to prioritize multiple tasks and remain calm under pressure.

- Ability to work independently and remain productive in a fully remote environment.

- Ability to handle confidential and sensitive information professionally.

- Must have a reliable Windows computer suitable for remote work.

- Must have stable and reliable internet connectivity.
