What are we looking for?

We are seeking a motivated, organised and people-focused Scheduler / Rostering Officer to join our growing Home Care team. The successful candidate will be responsible for managing the day-to-day rostering and staffing function, ensuring our clients receive high-quality, person-centred care from appropriately matched care staff.

This is a fast-paced role requiring excellent communication, strong attention to detail and the ability to coordinate multiple priorities in a timely manner. You will work closely with clients, care workers, care partners and management to ensure services are delivered efficiently, consistently and in accordance with client care plans, available funding and organisational requirements.
What are you expected to do?

Manage the rostering function using Visual Care.

- Coordinate, negotiate and schedule daily staffing allocations to ensure all short shifts are appropriately covered.

- Maintain and regularly update casual employee rosters.

- Monitor roster changes, cancellations, leave and staff availability, responding promptly to staffing requirements.

- Coordinate suitable staff to meet client needs, preferences and service requirements

- Ensure services are scheduled within available client funding and approved budgets.

- Coordinate the provision of quality, person-centred care in accordance with client needs, service/care plans and available funding.

- Communicate effectively with care workers, clients, families and internal team members regarding roster changes and service requirements.

- Assist with resolving last-minute staffing issues and finding suitable replacements when required.

Maintain accurate and up-to-date rostering and staffing records.

- Provide high-level administrative support across a variety of staffing, rostering and operational tasks.

- Assist with general administration associated with the role and day-to-day business operations.

- Respond professionally and efficiently to enquiries received by phone and email.

- Support the broader team with additional administrative and coordination tasks as required.

- Maintain confidentiality and comply with relevant organisational policies, procedures and privacy requirements.

- Contribute to a positive, collaborative and client-focused workplace culture.

You'll be a great fit if:

- You have at least 1 year of professional experience as a rostering, scheduling, administration, coordination, or a similar role in community aged care, NDIS or related industry handling AU clients.

- You have a proven excellent client service manner and can establish relationships and build rapport with clients, their families, carers, and referral sources while maintaining effective professional communication at all times.

- You have advanced time management and organisational skills and are highly efficient, reactive, and adaptive.

- You are a forward planner and analytical thinker with high attention to detail.

- You can thrive in a very fast-paced environment and work exceptionally well under pressure and within time restraints.

- You have strong problem-solving, negotiation, and conflict resolution skills and are willing to learn and be coachable.

- You can develop, implement, and evaluate organisational and client-focused documentation and systems.

- You can create and promote a positive and supportive culture where all staff are valued.

- You have excellent computer literacy, including Enterprise Management Software and sound knowledge of Microsoft Office, Office 365, Excel, Outlook, PowerPoint, and Adobe.
