We're looking for a highly organized, proactive Marketing Project Manager to build the operating system for our paid media team, and then run it.

Sweat Pants Agency manages around 57 brands and spends between $5M and $10M a month across Meta, Google, TikTok, and AppLovin. We're the only agency behind two INC #1 fastest growing brands from zero. Our average client stays with us for over three years.

Our email and SMS side is exceptionally well run. Project management there is tight, the templates exist, the dashboards are live, and nothing slips. Our paid media side is not there yet, and that's the job. This role is paid media only, so you won't be splitting your attention across two teams.

Roughly 25 to 30 accounts sit on the paid media side and are yours to keep in order. You'd be the first person in this seat, which means you're not inheriting a process. You're designing one.
The first things you'd own

We think in rocks, meaning the things that need pushing uphill. Here are ours, in priority order.

1. Capacity planning. Right now we don't have a real model for who is working on what, how loaded they are, or what happens when a new account lands. You'd build it: a live view of capacity across media buyers, designers, and video editors, with the ability to see an overload coming two weeks out instead of the day someone misses a deadline.

2. Creative workflow and process. Creative is our biggest bottleneck and it's cross functional. It spans our graphic design team, our video editors, and our media buyers who double as creative strategists. There's no single pipeline from request to delivery right now. You'd build it, run it, and be the person who guarantees we hit the creative volumes we owe clients every month.

3. Creators and UGC. We source creators constantly and there's no system behind it. You'd own sourcing across Billo, Backstage, email, and wherever else the right person is. That means negotiating rates and turnaround, tracking orders, managing usage rights so we never run an ad we've lost the rights to, tracking costs per account, and making sure markups land correctly on client invoices. If you haven't done this before, you should be genuinely comfortable asking a stranger for a better rate.

4. Client onboarding. We have a process and it needs refining, by someone who does this for a living rather than by me. Account access collection (Meta Business Manager, Google Ads, Klaviyo, Shopify, TikTok), ClickUp setup, reporting and dashboard configuration, so every launch feels identical.
What you'd do day to day

- Run ClickUp as the single source of truth. Build and maintain templates, recurring tasks, intake forms, automations, and dashboards. Every account has a current status and a named owner, always.

- Own capacity planning across the paid media team and flag overload before it becomes a missed deliverable.

- Track every creative deliverable from request to delivery, including revisions and approvals, and QA the work before it reaches a client.

- Source, negotiate with, and manage creators. Track orders, usage rights, and costs.

- Own client onboarding end to end and standardize it so every launch runs the same way.

- Build landing pages and advertorials using Claude Code from time to time.

- Make sure client reporting and dashboards are set up correctly and stay accurate for every account.

- Build internal tools, automations, and living SOPs using AI so the whole team runs faster and the same way every time.

- Catch gaps in communication and delivery before they escalate, and drive follow ups to closure.

- Schedule and coordinate recurring client and internal meetings, capture action items, and make sure they actually get done.

- Flag at risk accounts early and escalate.

About the landing pages

We don't sell landing pages as a service. We build them anyway, because a weak page is the most common reason good creative doesn't convert, and waiting on a client's dev team costs us weeks.
