Logistics Specialist

What You'll Own
1. Logistics & Shipment Coordination
- Support brokers with day-to-day shipment and logistics coordination.
- Schedule and confirm pickup and delivery appointments.
- Perform track-and-trace activities and maintain accurate shipment status updates.
- Follow up with carriers, drivers, and relevant stakeholders to ensure timely updates.
- Identify potential delays or issues and escalate them to the appropriate team member.
- Help ensure shipments move according to schedule and customer expectations.
2. Systems & Data Management
- Accurately update shipment information, customer records, and operational data in internal systems.
- Perform routine data entry and maintain accurate records.
- Update internal dashboards, boards, and operational trackers.
- Ensure information remains current and accessible to brokers and the broader operations team.
- Identify discrepancies or missing information and follow up to resolve them.
- Maintain a high level of accuracy across all operational documentation.
3. Broker & Back-Office Support
- Provide day-to-day administrative support to brokers so they can focus on customers, carriers, and revenue-generating activities.
- Assist with documentation, follow-ups, scheduling, and other operational tasks.
- Monitor outstanding tasks and ensure follow-ups are completed on time.
- Help identify repetitive administrative work that can be streamlined or improved.
- Take ownership of assigned workflows and ensure they are completed without constant supervision.
4. Customer & After-Hours Support
As you become more familiar with the business, responsibilities may expand to include:
- Communicating with customers regarding shipment updates and operational questions.
- Handling after-hours correspondence when needed.
- Providing timely updates and ensuring customer issues are escalated appropriately.
- Developing the confidence and knowledge required to represent the company directly with customers.
- Supporting basic operational decision-making within established guidelines.
5. Operations & Growth Opportunities
For the right candidate, the role can gradually expand beyond traditional back-office support.

Requirements
Required
- 2+ years of experience in logistics, freight brokerage, transportation, operations, customer support, or a related field.
- Experience working with logistics, freight, transportation, or shipment coordination is strongly preferred.
- Familiarity with shipment tracking, appointment scheduling, carrier/driver communication, or similar logistics workflows.
- Strong attention to detail and the ability to maintain accurate information across multiple systems.
- Comfortable managing multiple tasks, priorities, and moving parts simultaneously.
- Strong written and verbal English communication skills.
- Highly organized with strong follow-through and the ability to work independently.
- Comfortable working in a fast-paced, growing business where responsibilities may evolve over time.
- Technologically proficient and comfortable learning new software and systems.
- Familiarity with modern AI tools such as ChatGPT and Claude and a willingness to use technology to improve productivity.
- Reliable computer setup with at least 4 GB of RAM and sufficient storage to effectively perform the role.
- Ability to work during the required business hours, including potential after-hours support as the role develops.
