Executive Assistant / Senior Admin Support (Part-Time)
Position: Executive Assistant / Senior Admin Support
Salary: 2,500 NZD for the role
Working Hours & Conditions: To follow working hours (Part- Time)
Holidays: To follow
ABOUT THE COMPANY:
The enterprise operates as a dynamic, dual-entity residential property development group based in New Zealand (NZ). The active development arm functions as the delivery engine that acquires sites, manages debt structuring, and oversees large-scale residential construction currently executing over 500 entry-level "starter homes" across active sites with a pipeline of six additional communities. Its affiliated brand vehicle serves as the design and partnership hub, collaborating closely with legal and strategic advisory partners to restructure stalled development projects and deliver attainable, high-quality housing for first-home buyers.
ROLE OVERVIEW:
This role serves as the central administrative operational anchor supporting two senior directors across two related property development entities: the active development vehicle (which carries project debt and financial exposure) and the brand/intellectual property vehicle. The EA (Executive Assistant) reports directly to the Principal Director while liaising closely with partner directors to maintain calendar velocity, clean up fragmented digital workspaces, and drive core financial data entry. The core objective is to insulate executive time, impose operational structure on fast-moving residential development pipelines, and ensure cross-entity communications do not stall.
RESPONSIBILITIES:
- Manage diary, meetings, follow-ups, and general director support.
- Handle client correspondence and keep communication moving.
- Assist with Xero data entry and financial administration.
- Create and maintain clear document, file, and folder structures.
- Clean up duplicated and disorganised digital files following a computer migration.
- Track tasks and ensure operational details do not get missed.
- Provide ad hoc support during urgent periods across active developments.
Requirements
- Experienced in EA, executive support, or senior administration.
- Highly responsive and calm under pressure.
- Strong attention to detail, organisation, and follow-through.
- Comfortable working with two directors with different working styles.
- Proactive “keep the decks clear” mindset; able to identify and resolve admin gaps without needing constant direction.
- Confident with Xero, document management, calendars, and client communication.
- Flexible with a workload that may have quiet periods followed by urgent bursts
