How you will make a difference

In this position, you will have the opportunity to provide service-oriented support to the Development, Finance, and program teams by maintaining accurate, timely gift data in Salesforce and responding quickly to the data needs of internal stakeholders. You will be the go-to resource for the fundraising team’s day-to-day data questions — fielding ad hoc requests, resolving data discrepancies, and ensuring that gift records are always current and trustworthy. Success in this position requires not just attention to detail, but a genuine service orientation: the ability to triage competing requests, communicate clearly under pressure, and deliver reliable results to colleagues who depend on accurate data to do their jobs. The Donor Operations Coordinator will be responsible for:
Internal stakeholder support

- Serving as the primary point of contact for gift data inquiries from the Development, Finance, and program teams — responding promptly and accurately to ad hoc requests for records, reports, and reconciliation details.

- Triaging and prioritizing competing requests from multiple internal stakeholders, communicating realistic timelines, and proactively flagging delays.

- Partnering with the Development Operations team to identify recurring pain points and build lightweight processes that reduce the volume of repetitive requests over time.

- Maintaining a solutions-first approach when colleagues need urgent answers during high-pressure fundraising periods.

Gift entry

- Entering donor gifts into Salesforce on a consistent weekly basis, including checks, ACH transactions, and non-cash gifts, ensuring accurate and complete record of all incoming gifts.

- Processing and entering third-party fundraiser (TPF) gifts on a monthly basis.

- Following established SOPs for all gift entry and surfacing process gaps or inconsistencies to the Director of Development Operations.

- Reviewing data quality reports regularly to identify and resolve discrepancies before they surface as downstream problems for the team.

Gift acknowledgement

- Processing gift acknowledgments electronically or via postal mail in a timely manner, including during high-volume year-end periods.

- Maintaining and updating acknowledgment templates as needed in coordination with the Development team.

- Coordinating with the Development team on special acknowledgment needs for major donors or campaigns.

Data import, reconciliation, and reporting

- Supporting the Development team with bulk data imports and updates, including preparing datasets for import and ensuring data accuracy and consistency with data quality standards.

- Supporting the gift reconciliation process between Salesforce and the financial accounting systems in collaboration with the Salesforce and Finance teams.

- Running standard Salesforce reports on request and assisting colleagues in interpreting data outputs.

- Performing other duties as assigned

Who we’re looking for

An ideal candidate for the Donor Operations Coordinator position will have experience that reflects the following:

- At least 3 years of experience providing service-oriented support to fundraising or other data-driven teams.

- Systems-oriented thinker who can see how the data pieces fit together, proactively recommend solutions, and partner with the team to resolve issues.
