MAINTENANCE COORDINATOR - Getaway and Stay

OVERVIEW

We manage about 50 vacation rental (Airnbnb) properties across multiple US markets. We are a growing company. Our team includes 5 amazing Online Filipino Specialists.

Right now maintenance is everybody's job, which means it is nobody's job. Five people on our team message the same contractors. Our vendors have to ask us what is still open. Things get noticed and then they sit.

We are hiring one person to own it.

This is a brand new role. You would be the first person to hold it, which means you will help build it. We have great systems and we are always improving. You will work along side our ops team, not on an island by yourself.

WHAT YOU WOULD DO

Every day, five things.

1. Intake. Read every new issue from guests, cleaners, inspectors and owners. D ---------- how urgent each one is. Write it up so a contractor can act on it. Look at our maintenance board.

2. Dispatch. Send the job to the right contractor by text, with photos, the property, the access details and a date you are asking for. Confirm they took it. We have the list of contractors.

3. Timing. Fit the repair between guests. Pull the booking calendar, pick the window, give the contractor the door code, tell the cleaner what to expect.

4. Chase. Nothing sits. No reply in 48 hours gets a second message. Five days and it moves to someone else.

5. Close and log. Get the photo if appropriate. Match the invoice to the quote. Log the cost. Close it out. Flag anything that keeps breaking. Everything gets documented, otherwise it never happened.

You would also run our preventive maintenance calendar. Water softener refills, HVAC filters, gutters, septic, dryer vent, etc.

We always are thinking about how to improve the process and create systems to support the work. I do some pretty deep work in Claude and have built out some very helpful dashboards. I will expect your feedback and ideas to make the maintenance dashboard even better.

You would own the contractor side of bringing new properties onto management. Setting up pest control, landscaping, hot tub service, trash and a handyman at each new house. You are going to be working with those people for years, so you should be the one who meets them first. Once again, we have the systems in place. We have the tracking modules. We need someone to own certain aspects of the on boarding process so it is not scattered amongst the ops team.

WHAT YOU WOULD NOT DO

You are not fixing anything yourself. You are not a plumber. You are the person who makes sure the plumber shows up, does the work, and sends the invoice.

You are not on the phone all day either. We run on text and Slack. Our contractors get a message with photos, not a phone call. To start, we have folks here who can make the first call to a new vendor and the call when something has gone wrong. You handle everything after that.

WHO WE ARE LOOKING FOR

Critical thinking is the number one thing we are grading. More than experience. More than your resume. The application below is built to test it, and we read every answer.

We want someone who knows something about how houses work. You do not need to be a tradesperson. Maybe you helped in a family business. Maybe you fixed things at home. Maybe you are just the person who watches three videos and figures it out. If you cannot tell a water heater from a furnace and you have no interest in learning, this is not your job.

Beyond that:

You figure out how to figure it out.

You write clearly. A contractor should be able to read your message once and know exactly what to do.

You follow through without being asked twice.

You are comfortable saying "I do not know, here is how I will find out."

You are honest about mistakes.

You can work for us and only for us. No side jobs.

You have reliable internet and a backup plan for when it goes down.

THE SHIFT

“Our” Monday through Friday, 7am to 4pm US Central time. That is roughly 8pm to 5am Manila time, shifting by an hour when the US changes clocks. This is a new role. I do not know how it will look in a year. You will be part of the conversation regarding any potential changes.

That window covers our cleaning turnovers and ends right before guest check-ins, which is when problems show up. You would be the person who gets ahead of the problems before guests see the problems.

TOOLS

OwnerRez, Slack, Quo, SuiteOp, Google Drive, a custom dashboard our team built, among other systems. We will train you on all of it. You do not need to know any of them today. We think about things like "Innovation.”

PAY AND THE RAISE PATH

Starting: $3.50 per hour, 40+ hours per week. We will have a clearly described path to quick raises based on specific metrics and your ability to handle the job. Our goal is about $5 per hour and we want to get you there quickly.

We also pay 13th month. We have a medical reimbursement system. We have other bonuses that we can discuss. We think about ideas like “Family first.”

WHAT THE FIRST FEW WEEKS LOOK LIKE

Week 1-3: Daily calls with various members of our team. You shadow, you learn the markets, you learn who fixes what and where. We show you our systems. You learn the various systems.

Week 4: You write every contractor message, we approve and send them.

Week 5: You start dispatching routine work on your own. You also start writing down how to do the things you learn.

Week 6: Routine work in all markets. First new property setup. Formal performance review.

WHY WORK HERE

We are a small team and we are going to be around for a long time. Several of our Online Filipino Specialists have been with us for several years. Our Filipino ops team is currently a group of 5. This role will allow them to provide an even better, more hospitable guest experience. They will also be able to focus on other business development related tasks like SEO, better bookkeeping, tracking other KPI’s, etc.

We are also honest with you about what we are. We move fast, we expect you to think, and we would rather you make a call and get it wrong than wait for permission on everything. Autonomy is the point of this job. We discuss ideas like “Fix the process, not the person” and “Extreme accountability.” I want to empower you to do your job and not question yourself. We have a lot of support, whether its a team member or in our database to support the decisions.

When the Google Form asks for a “number,” the number is 1776.

We will ask for a brief intro video. “Tell us about something you fixed or figured out on your own. Unlisted YouTube or Loom, please.”
