Position Overview
The Staff Accountant is a core member of Calibrant's accounting team, responsible for the accurate and timely execution of day-to-day accounting operations: journal entries, balance sheet and bank reconciliations, accounts payable, and customer invoicing support. This role is central to delivering a clean, on-time monthly close, and works directly with our external auditors on the schedules and workpapers that support it.
You will work in a multi-entity NetSuite OneWorld environment with an automated AP workflow, on a team that is actively modernizing how the function operates. We are looking for someone precise, organized, and genuinely curious โ a person who not only clears their assigned reconciliations but asks why the difference was there in the first place.
Principal Duties and Responsibilities
Month-End Close & Reconciliations
- Prepare assigned journal entries for the monthly close, ensuring correct account, subsidiary, and period coding within the established chart of accounts.
- Prepare balance sheet reconciliations for assigned accounts, with clear documentation of every reconciling item and a plan to clear it.
- Perform bank reconciliations across multiple operating, project, and restricted-cash accounts.
- Prepare recurring accruals, prepaid amortization, and fixed asset and depreciation schedules for assigned entities.
- Research and clear assigned close exceptions before the close deadline, escalating anything unresolved rather than letting it roll forward.
- Prepare intercompany entries and support the reconciliation of intercompany balances across entities.
Accounts Payable & Vendor Management
- Process vendor invoices through the automated AP workflow, confirming accurate coding to account, entity, and project, and routing for approval under the established approval matrix.
- Review invoices for mathematical accuracy, contract or purchase-order agreement, and confirmation that goods or services were received.
- Set up and maintain vendor master records, including collection of W-9 and banking documentation, with appropriate verification controls.
- Reconcile vendor statements and resolve discrepancies, short-pays, and aged items.
- Prepare accounts payable aging reports and recommend payment runs based on due dates, discount terms, and cash availability.
- Serve as a responsive first point of contact for vendor inquiries, maintaining strong working relationships and resolving issues promptly.
- Process and audit employee expense reports for policy compliance and correct coding.
Customer Invoicing & Collections Support
- Coordinate with the Asset Management team to produce accurate and timely customer invoices.
- Verify invoice supporting documentation against contract terms and reconcile billed amounts to the general ledger.
- Maintain the accounts receivable aging, apply cash receipts, and support collections follow-up on past-due balances.
