The Opportunity
The Staff Accountant plays a pivotal role within our Finance Department by providing accounting and record-keeping support. The primary role of this position is to apply accounting principles and standards related to complex transactions; prepare and analyze financial information accurately and with timeliness; and apply best practices, always seeking efficiencies and effectiveness. The Staff Accountant role is a full time , remote position and can work from anywhere in the US with work hours aligning with Eastern Standard Time (9-5:30 with some flexibility). As a remote, people-first culture, we care deeply about our team members’ connections to one another and as such, travel 2-3 times per year to company events will be required.
Key Responsibilities
Whilespecific responsibilities will vary at times based on organizational needs, client activities, and Finance team priorities, the Staff Accountant will be required to perform the following duties: General Ledger and Month-End Closing
- Prepare monthly bank reconciliations for all corporate bank accounts. Investigate and resolve reconciling items
- Record outgoing investment wires and corporate ACH disbursements in the general ledger.
- Update fixed asset schedules for additions and disposals, record depreciation expense, and reconcile fixed asset and accumulated depreciation accounts
- Prepare month-end journal entries for payroll, 401k, HSA, FSA and other employee benefits
- Code corporate credit card activity into the general ledger, and reconcile activity to monthly statement
- Prepare monthly reconciliation binder, roll forward reconciliation schedules, and maintain supporting documentation for reconciliations
Cash Activity Monitoring and Recording
- Download daily cash activity from banking website(s). Monitor and resolve ACH returns or wire rejections
- Facilitate outgoing electronic transfers, including investment wires, and corporate ACH disbursements
- Research questions or statuses of cash transactions and escalate to corporate bank representatives as needed
- Prepare internal bank transfers as needed, record transfers into accounting system
- Manage Positive Pay exception items, stop payments, voided checks, ACH exceptions, and wire trace requests
Accounts Payable and Expenses
- Manage and organize the AP email inbox; collaborate with internal staff and external vendors as needed to acquire proper and complete approvals for payments
- Lead the weekly AP disbursement process, including coding and inputting complete and approved invoices into the accounting system
- Manage W-9/W-8BEN collection and bank detail updates and prepare new vendor setup requests for approval. Ensure vendor documents and files are organized, complete, and up to date
