The Opportunity

The Knowledge Management & Communications Specialist is responsible for building, maintaining, and governing the organization’s central Knowledge Center, ensuring all staff have accurate, accessible, and up-to-date resources. This role standardizes and develops job aids, process documentation, FAQs, and policy summaries that support client-facing teams.

Acting as the primary point of intake for content updates, change requests, and departmental process shifts, this role partners closely with Subject Matter Experts (SMEs), Instructional Designers, L&D facilitators, and operational leaders to ensure clarity, consistency, and compliance in all learning and reference materials.

This position enables operational efficiency, reduces training development time, strengthens compliance, supports faster onboarding, and ensures the right information reaches the right people at the right time.

What You Will Own

1. Knowledge Center Ownership

- Build, structure, and maintain the organization’s central Knowledge Center

- Establish information architecture, taxonomy, and organization-wide standards

- Own governance, version control, and audit readiness for all documents

- Update process documents when policies or procedures change

- Ensure the Knowledge Center serves as the authoritative, comprehensive source of truth

2. Learning Resource & Communication Standardization

- Translate policies, operational changes, and workflows into easy-to-understand learning assets

- Develop and maintain job aids, how-to guides, FAQs, process maps, and Pack Guides

- Ensure all resources meet clarity, accessibility, compliance, and branding standards

- Communicate changes, updates, and new resources to impacted teams in a timely, consistent manner

- Partner with Instructional Designers to provide clean, accurate, and organized source content

3. Content Intake, Triage & Prioritization

- Serve as the intake point for content change requests, fixes, or documentation needs

- Triage requests and determine what is handled directly vs. escalated to L&D, ID, or Operations

- Quickly resolve minor updates or “simple fixes” to reduce bottlenecks and dependency on SMEs

- Reduce reactive, low-value work for the Learning Solutions Specialist and in-person trainers

- Monitor patterns, identify gaps, and recommend improvements to the documentation strategy

What You Bring

Required:

- Bachelor’s degree in Communication, Human Resources, Marketing, Education, Training & Development, Knowledge Management, Organizational Development, or related field

2+ years of experience in knowledge management, technical writing, learning documentation, internal communications, or process documentation

- Experience creating job aids, SOPs, process maps, FAQs, or operational documentation

- Exceptional written communication and editing skills
