Change Management Specialist — the money on a trade subcontract is won or lost in the paperwork, not the pricing
Our client is a turnkey masonry contracting firm in the US Eastern time zone, in business since the late 1950s and working from ten regional offices across the US Southeast, Texas and the Mid-Atlantic. This is its commercial seat: you find changes to the masonry scope, document them, price them, submit them and defend them, and you protect the contractual rights that make them recoverable.
The firm works as a trade contractor, so every change order you build travels up to a general contractor who did not write the change and is under pressure not to accept it. It is also a firm that screens its own trade partners on their claims history, so the job is to make sure nothing we are genuinely owed is lost, and nothing we are not owed is submitted.
What people underestimate is not the pricing. It is the clock. Most subcontracts require written notice of a change within a fixed number of days of becoming aware of it, and a change order that misses that window can be worth nothing however strong the merits. The same is true of work built before it was authorised in writing. Your hours sit opposite the project team and notice deadlines do not pause overnight.
Key Responsibilities
Change Identification
- Monitor drawings, specifications, addenda, RFIs, ASIs, bulletins and field directives for anything affecting masonry scope.
- Identify additions, deletions, substitutions, revisions and clarifications that may constitute a change to the contract.
- Review field conditions for work differing from the contract documents, and work with project managers and field staff so changes surface early.
Change Documentation
- Maintain the change-order log: source, date, description, potential impact and current status of every change.
- Keep supporting documentation — drawings, photographs, correspondence, RFIs, meeting minutes, daily reports, delivery records.
- Document changes before additional work is performed wherever the contract allows, with records tying each change to its cost and schedule impact.
Change Order Pricing
- Price changes in detail: labor, material, equipment and subcontractor costs, and additional or deleted masonry quantities.
- Cover CMU, brick, stone, mortar, reinforcing, flashing, lintels, embeds, scaffolding and related masonry activities.
- Assess productivity and additional labor, apply contract markup, and obtain vendor and subcontractor pricing where needed.
Contract and Scope Review
- Review subcontracts, purchase orders, specifications and scope documents, and know their requirements on changes, notices, pricing and documentation.
- Compare original against revised documents to determine scope changes and work falling outside the original masonry scope.
- Support entitlement decisions, identify notice requirements and deadlines, and escalate significant commercial issues.
Preparation and Submission
- Prepare proposals stating the reason for the change and its scope, with quantity, labor, material, equipment and cost breakdowns.
- Assemble exhibits, marked-up drawings and photographs, and submit per contract requirements.
- Track submission dates and required responses, chase pending requests, and record negotiations and revisions.
Negotiation Support
- Support project managers and leadership in negotiations, and answer requests for backup from general contractors and owners.
- Analyse proposed reductions and supply the documentation that defends pricing and scope.
- Escalate disputed or high-value changes when appropriate.
Field Coordination
- Work with superintendents and foremen on the real impact of changes, and verify quantities and site conditions.
- Review daily reports, production reports, photographs, time records and material tickets.
- Make sure the field knows what is authorised, pending, or outside scope, and help set up tracking of labor and material against pending changes.
Schedule and Productivity Impacts
- Identify changes affecting the masonry schedule or productivity: resequencing, restricted access, stacking of trades, incomplete predecessor work.
- Document labor inefficiencies and productivity impacts, and support time-impact documentation.
- Coordinate with schedulers when changes affect critical activities or milestones.
Billing and Financial Coordination
- Coordinate with project managers and accounting so approved changes reach billing correctly, and reconcile against cost records.
- Track approved and pending values, support revenue forecasting, and monitor unapproved changes representing exposure.
- Report to management on pending, approved, rejected and disputed changes.
Project Closeout
- Resolve outstanding change orders before closeout and reconcile the log against project and accounting records.
- Compile final documentation and help settle outstanding commercial issues and disputed changes.
- Maintain complete change-management records for future reference and claims support.
- Three to seven years in construction change management, contract administration, quantity surveying, estimating or project controls.
- Direct experience of commercial construction contracts and change-order or variation processes — preparing them yourself, not filing them.
- A working understanding of how contractual notice provisions operate, and what happens when one is missed.
- Able to read drawings and specifications and compare one revision against another to find what changed.
- Able to take quantities off drawings and build a price from labor, material, equipment and vendor costs, applying markup as the contract allows.
- Strong Excel, plus Word, Outlook and PDF tools such as Bluebeam or Acrobat.
- Clear written English. Your notices and cover letters go to general contractors, architects and owners as written.
- Available full time on a US Eastern schedule, with connectivity stable enough for shared-screen calls and somewhere quiet to take them.
Preferred Qualifications
- A degree in construction management, quantity surveying, engineering, business or accounting.
- Experience on the subcontractor side, submitting change orders up to a general contractor rather than reviewing ones coming in from below.
- Procore, Autodesk Construction Cloud or a similar construction platform.
- Claims work: extension-of-time submissions, disruption or loss-of-productivity assessments.
- Exposure to masonry, facade or envelope trade packages.
- Reconciling change-order values against billing and cost records.
- RICS, CIOB or AACE membership, or prior remote work with a US or Western project team.
Tools & Software
- Microsoft Excel, Word and Outlook.
- Bluebeam Revu, Adobe Acrobat or similar PDF and drawing-markup tools.
- A construction project-management platform such as Procore or Autodesk Construction Cloud.
- Microsoft Teams and OneDrive.
- Hubstaff for time tracking.
What Makes You a Great Fit
- You treat a notice deadline as the hardest date on the job. Notice goes out when you know there is a change, not when you know its value.
- You test a change against the contract before pricing it, and you have told your own team more than once that something was not a change.
- You build a price that can be defended line by line, because you expect it to be read that way.
- You would rather submit a smaller number you can prove than a larger one you cannot.
- You know that backup written up afterwards is not backup, and you would say so in a room that wanted to hear otherwise.
