Associate Director, Deliverable Management
Job Summary:
Working under the direction of Director, Management, the Associate Director, Deliverable Management will lead a central headquarters (HQ) operations team with the primary responsibility of global project deliverable management, with a focus on milestones across a complex, multi-country fixed amount award. The Associate Director will provide cross-cutting operations and management support including setting up milestone management systems, trackers, standard operating procedures (SOP), training and capacity building materials that are required in support of a large, multi-country global fixed amount award. Working closely with project leadership, the program management team (PMT), finance, strategic information (SI) and country teams, they will provide management guidance and support around deliverables management. They will serve as an operations point of contact to troubleshoot challenges for cross-cutting operational components of the project. They will work closely and collaboratively with various departments in support of the project.

Accountabilities:

Provide leadership and management support on project deliverables of a large, complex project, ensuring strategically coherent direction, well-managed tracking systems, and compliance with donor regulations.

Provide cross-cutting program management support, including setting up deliverable management systems and managing trackers.

Review, track and prompt country and HQ teams to complete, document and submit project milestones and deliverables to ensure that the global project remains on track and in compliance with approved milestones and payment schedules

Provide orientation, training and troubleshooting support to country and HQ teams on milestone management

Manage monthly meetings with a focus on deliverable tracking to ensure that project and department leadership is clear on project milestone status.

Work closely with project leadership, SI, finance and technical leaders to ensure that project systems are functioning as intended to ensure accurate deliverable tracking; highlight and address potential risks as they arise.

Develop and maintain training materials and tools to ensure that country and global staff are well versed in the complexities of operating under a fixed amount award. This includes leading webinars, review meetings, and other ad hoc training sessions.

Coordinate with the PMT and other members of the project management and operations team on appropriate management, compliance, and performance standards, as well as effective systems for milestone management, with a focus on reducing risk for the project.

Work collaboratively with senior leadership and department operations teams to mitigate potential risks and ensure programming staff are knowledgeable about and compliant with financial and administrative processes.

Serve as a focal point for global milestone and deliverable troubleshooting to limit implementation bottlenecks and escalate as appropriate.
