Apply on original site โWe are seeking an experienced Virtual Office Administrator with excellent written and spoken English to provide administrative and customer support to our growing team.
The position will initially require approximately 5โ15 hours per week, with Saturday and Sunday coverage as the priority, particularly Sunday. Additional days and hours may be added as the role grows.
This position has the potential to develop into a 30โ40 hour-per-week role for the right person.
The Virtual Office Administrator will play an important role in scheduling, customer communication, lead follow-up, billing support, and assisting our internal team.
Key Responsibilities
Manage and respond to customer email s and text messages promptly and professionally using OPUS1, our CRM and scheduling platform.
Call and text customers to schedule appointments and follow up on inquiries.
Respond to new customer inquiries and manage leads in PODIO.
Answer incoming phone calls and make outbound customer calls during designated hours.
Monitor inboxes and prioritize messages requiring follow-up.
Assist with last-minute cancellations and scheduling changes.
Provide light billing and administrative support.
Coordinate with other members of the Off the Wall Music team as needed.
Additional/Bonus Responsibilities
Depending on experience and availability, the position may also assist with:
Instagram, Facebook , and Google Business Profile management.
Organizing existing content and media for social media posting.
Coordinating with video editors or designers to maintain a regular posting schedule.
Light bookkeeping.
Coordinating WordPress website updates with web designers.
Required Qualifications
Previous experience in an administrative, office support, virtual assistant, or customer service role.
Excellent written and spoken English.
Experience scheduling customers or appointments.
Strong email and customer communication skills.
Familiarity with Gmail, Google Calendar, and similar digital tools.
Strong organizational skills and attention to detail.
Friendly, professional, and customer-focused communication style.
Ability to learn new software and systems quickly.
Availability to provide weekend coverage, with Sunday being the highest priority.
Experience with OPUS1, PODIO, billing, bookkeeping, or music-related businesses is a plus but not required.
Schedule
Approximately 5โ15 hours per week initially
Saturday and Sunday availability required/preferred
Sunday coverage is the highest priority
Additional weekday hours may become available as the position expands.
The school operates seven days per week.
Some availability during U.S. Pacific Time business hours will be required.
Growth Opportunity
This role is expected to begin on a part-time basis but has the potential to grow into a 30โ40 hour-per-week position based on performance and business needs.
