Pay Rate: $6.00/ hour
Shift: US Pacific Time (PST) — Operating on scheduled California Medical Evaluation days (Weekdays & Occasional Saturdays as needed).
About the Role
We are seeking a highly articulate, organized, and confident Virtual Receptionist to act as a vital remote assistant to our California Doctors on Qualified Medical Evaluator (QME) evaluation days.
In this role, you will be the real-time operational bridge between applicants (patients), doctors, and our core management team. You will handle live day-of communications, track applicant attendance and evaluation status, flag no-shows immediately, and ensure our AI scribing software is actively running, verified for accuracy, and properly filed for every case.
Key Responsibilities
1. Applicant Attendance & Status Tracking:
- Track applicant (patient) check-in times, evaluation progress, and check-out status in real-time across all scheduled appointments.
- Immediately flag and report no-shows, late arrivals, or cancellations to the doctor and admin team according to protocol.
- Maintain accurate live logs of evaluation day activity and patient status updates.
2. Live Evaluation Day Coordination:
- Serve as the doctor’s right-hand assistant on evaluation days—managing patient intake workflows, doctor alerts, and schedule flow.
3. Patient & Doctor Communications:
- Handle professional, friendly, and clear communications with California applicants, law firm representatives, and evaluating physicians via phone, chat, or video call.
4. AI Scribing Management & Filing:
- Ensure AI scribing software is properly initiated and active during doctor-applicant evaluations.
- Verify audio capture clarity and review AI-generated notes for accuracy.
- Make minor formatting adjustments as needed and ensure final transcripts and reports are properly uploaded and filed in our system.
5. Team Collaboration:
- Maintain real-time sync with our US-based ops team to flag missing legal paperwork, schedule adjustments, or immediate doctor requests.
Candidate Requirements (IMPORTANT: PLEASE READ)
1. Native / Near-Native American Accent: Exceptional spoken English skills with a clear, natural American accent (Mandatory & Non-Negotiable).
2. Confidence & Poise: Outstanding communication skills with the ability to maintain composure and authority when interacting with US doctors, law firms, and applicants.
3. Meticulous Organization: Strong multitasker who can track real-time attendance, monitor AI tools, and keep patient records organized under fast-paced conditions.
4. Educational Background: Graduates or students from top Philippine universities (UP, Ateneo, DLSU, UST, etc.) or applicants with strong healthcare/medical VA backgrounds are preferred.
Technical Setup:
1. High-speed, reliable fiber internet.
2. Professional noise-canceling headset (USB with active noise cancellation).
3. Dual-monitor setup preferred* (for simultaneous patient tracking and system management).
4. Backup power source (UPS/generator) and backup internet connection.
