Role Summary: The HOA Operations Specialist supports the day-to-day operational and administrative needs of California homeowner associations. This role coordinates association onboarding, board administration, compliance tracking, documentation, and ongoing operational workflows. Prior HOA experience is preferred but not required. We’re looking for someone with strong operational or administrative experience who can manage multiple workflows, deadlines, documents, and stakeholders in a fast-paced environment. Key Responsibilities: - Support HOA operational and administrative workflows across multiple homeowner associations - Coordinate HOA onboarding and implementation, including gathering, reviewing, and organizing association records, contracts, governing documents, and required information - Own the onboarding process from start to finish, proactively following up with internal and external parties to keep outstanding items moving and ensure deadlines are met - Coordinate utility setup, account transfers, account changes, and related documentation for newly onboarded associations - Manage HOA compliance requirements, including permits, renewals, filings, registrations, and other association obligations - Maintain compliance calendars and take proactive action on upcoming deadlines, missing documentation, and incomplete requirements - Coordinate across internal departments to resolve blockers and ensure onboarding, compliance, and operational requirements are completed accurately and on time - Escalate delays or unresolved issues when necessary and maintain ownership through resolution Qualifications: - 2+ years of experience in operations, administrative coordination, property management, real estate, or a similar operational role - Proven ability to manage multiple priorities, deadlines, and workstreams simultaneously in a fast-paced environment - Highly organized and detail-oriented, with strong follow-through and a track record of keeping tasks from falling through the cracks - Proactive and persistent in following up on outstanding items and comfortable pushing for responses when needed to keep work moving - Strong sense of ownership and accountability, with the ability to independently drive tasks from assignment through completion - Resourceful and comfortable researching requirements, resolving issues, and determining next steps with limited direction - Excellent written and verbal English communication skills, including professional communication with internal and external stakeholders - Strong proficiency with Google Workspace and comfort learning new systems and tools - Ability to prioritize effectively, recognize time-sensitive issues, and escalate blockers when necessary - Ability to work US Pacific hours Preferred Qualifications: - Previous HOA, community association, or property management experience - Experience supporting property managers, community managers, boards, or property operations - Familiarity with vendor compliance, property maintenance coordination, contracts, or regulatory deadlines - Familiarity with California HOA operations is a plus
