## About Project Builders
Project Builders is a residential building company based in Dunedin, New Zealand, specialising in renovations, extensions and new homes.
We’re a small, established team and place a big emphasis on planning, clear communication and running well-organised projects. We’re continually improving our systems and how we track projects, with the goal of giving both our team and our clients better visibility throughout a build.
We’re looking for someone to become part of that process and support our team with estimating, job costing, purchase orders and project tracking.
This isn't a general administration or bookkeeping position. We need someone who understands **construction** and can look at a set of plans, an invoice or a supplier order and understand what they're looking at.
## The Role
As our **Construction Cost & Project Coordinator**, you'll help us keep accurate, up-to-date information on each project from estimating through construction.
A big part of your role will be knowing:
**Where are we at? What have we spent? What have we committed to? Are we tracking against the estimate? What's coming up next? Is anything starting to go off track?**
You'll work alongside our Project Manager and Operations Manager, providing the information and support they need to make good project decisions.
## Key Responsibilities
### Job Costing & Financial Tracking
* Allocate supplier and subcontractor invoices to the correct job and cost category.
* Maintain accurate job costing throughout each project.
* Track estimated costs against actual and committed costs.
* Complete regular back costing and identify significant variances.
* Monitor how each job is tracking financially.
* Identify potential overruns, missing costs, incorrect allocations or unusual expenditure.
* Maintain accurate job cost information within our systems.
* Assist with regular job-specific financial reporting.
### Purchase Orders & Procurement
* Create and manage purchase orders for projects.
* Ensure POs are allocated to the correct job and cost category.
* Match invoices against POs, supplier quotes and agreed pricing.
* Follow up discrepancies between orders, invoices and quoted costs.
* Maintain visibility of committed costs that haven't yet been invoiced.
* Assist with supplier and subcontractor RFQs and quote comparisons.
### Estimating Support
* Read and understand residential construction plans and specifications.
* Assist with preparing and updating project estimates.
* Enter supplier, subcontractor and material pricing.
* Send RFQs and follow up outstanding pricing.
* Compare supplier and subcontractor quotes against the required scope.
* Assist with maintaining current supplier pricing and estimating information.
* Identify missing information, pricing or scope items and flag these for review.
### Project & Schedule Tracking
* Maintain project schedules and key dates based on information from the Project Manager.
* Track actual progress against the project programme.
* Keep project information and systems current as jobs progress.
* Monitor upcoming stages, orders and subcontractor requirements.
* Identify potential scheduling or cost issues early and bring them to the Project Manager's attention.
* Assist with keeping project documentation organised and current.
## What We're Looking For
You **must** have:
* Experience working within the construction industry.
* The ability to confidently read and understand residential building plans and specifications.
* A good understanding of construction terminology, sequencing, materials and subcontractor trades.
* Experience with purchase orders and job costing.
* Strong numerical skills and excellent attention to detail.
* The ability to understand the relationship between an estimate, PO, invoice, committed cost and actua
